VR corporate event invitations: the link comes first

Your VR event starts with the invitation link. Here's how to build a digital invitation you can edit after sending, with RSVP inside.

You're sending corporate event invitations with virtual reality. The headsets are booked, the platform is tested, the hybrid room is reserved. Then someone asks, 'What time does the VR session start?' and you realise the invitation you sent is a PDF that says 5 PM. Now you have to email everyone a correction.

The invitation is the first avatar. It's what your guests see before they put on a headset. If it's a static file, every change becomes a chore. If it's a web page on a link, you can edit it and everyone sees the update. That's the difference between chasing people and simply updating a page.

The first avatar: corporate event invitations with virtual reality

A digital invitation from Send The Joy is a web page. Your guests open the link in any browser—no app to install. You can share it as a link, a QR code, or a message. The QR code works in your email signature or on the reception screen. The cover page acts as a threshold: event title, date, and a welcome line. It looks the same as the preview you see when you edit.

  • Date and time with the time zone written as it is: '18:00 CET', not 'in the afternoon'.
  • The access link to the VR session, or the address of the physical venue if the event is hybrid.
  • An unambiguous RSVP question: virtual or in-person.
  • A cover photo with your team logo or the room, framed on its own.

The agenda changes more than the date

If you move the VR session from 5 PM to 6 PM, you edit it and guests see the new time on the same link. No one has to resend anything. The same goes for the access link, the venue address, or the dress code. You change it once, and it's updated for everyone.

The link never changes. If someone bookmarked it or forwarded it to a colleague, they see the current version. No reprints, no new envelopes. You can also swap the cover photo or add music later.

The invitation is the first room your guests enter. Make it a room you can change.

Set the mood before they step in

The invitation itself can carry the tone. You can add up to six photos: a cover image and decorative ones. The cover photo can be your team logo, the room, or a shot from last year's event. You can also add music—the same track that will play during the countdown. Text fields keep everything in its place: event title, date, place, and a welcome line. A character counter stops you from overflowing the screen.

Confirm without chasing anyone on WhatsApp

RSVP responses arrive inside the invitation, in an ordered list. You can configure the questions: virtual or in-person, the name they want to use in the room. Guests reply from their phone in two taps, without creating an account. Before you choose the headset or the platform, build the door everyone will walk through: the invitation. Try it free, publish it with one button, and edit it after sending without resending a single message. For those who will keep a memento, a sensible combination is a link for everyone and a few printed copies for specific hands.
