Shareholder meeting invitations: agenda, RSVP and proxy votes

A shareholder meeting isn't a birthday party. Put the agenda, the confirmation deadline and proxy voting in one link — and stop chasing replies.

A shareholder meeting isn't a birthday party. Put the agenda, the confirmation deadline and proxy voting in one link — and stop chasing replies.

It's Thursday afternoon and the company secretary is answering the same question for the fourth time. One shareholder can't find the room number. Another wants to know whether he can send his vote with his brother. A third never opened the PDF that went out with the first email. The meeting itself is fine. The shareholder meeting invitation that was supposed to explain it isn't.

An annual general meeting doesn't work like a birthday party. Guests don't just say yes or no. They read an agenda, decide whether to travel, and sometimes hand their vote to somebody else. Your invitation has to carry all three of those things, and it has to carry them before anyone opens an attachment.

What a shareholder meeting invitation shows first

The first thing on the screen should be what the meeting is and when it happens. Write "Annual General Meeting of Shareholders" at the top, then the date. Not the background colour, not the ambient music. Keep the date, the time and the venue with a map in the same block, so a change of room doesn't send anyone hunting through a three-page document. And put the confirmation deadline next to the venue details, where it actually gets read.

  • The name of the body and the date first: "Annual General Meeting of Shareholders", then when it's happening.
  • Date, time and venue with a map link in one block — if the room changes, nobody should have to open an attachment to find out.
  • The confirmation deadline beside the venue: "Please confirm by Thursday, 6pm" stops being a footnote nobody reads.
  • A real contact in the secretariat, email or phone, for questions before the meeting. A link can't answer a legal question.

The agenda doesn't fit in a WhatsApp message

Number the items and give each one its own line: 1. Approval of the accounts. 2. Appointment of the auditor. 3. Any other business. Written as a paragraph, people skim it and miss the vote. Numbered, they can see in thirty seconds what the meeting is actually about.

Separate the items going to a vote from the ones that are only information. That one extra line saves a phone call, and it lets a shareholder decide in under a minute whether they need to be in the room at all.

The agenda, the deadline and the proxy are three answers on one page — not three emails.

Proxy voting is one question, not an endless form

In the confirmation form, offer two clear options and nothing else on the first screen: "I'll attend in person" or "I'm delegating my vote". If the rules that apply to your meeting require a signed proxy form, say so in the text and add the address or email where it should be sent — a digital invitation doesn't replace a signed document. Ask for the name of the representative at the moment of delegating, so the list of proxies arrives in order instead of being rebuilt afterwards.

Changing the room doesn't mean resending anything

The link stays the same. If the meeting is pushed back half an hour or moved to a different room, everyone who opens it sees the current version. A corrected agenda can be published without printing anything or sending a second email. If a board member wants paper for the minutes, the sensible combination is a link for everyone and a few printed copies for whoever is going to file them.

If the notice goes out as a link this year, the agenda, the deadline and the proxy replies arrive together, and nobody is chasing answers on WhatsApp. It's a page of your own for the event, shared with a link or a QR code, and you can edit it afterwards without changing the address.
