Press breakfast invitations: accredit without the scoop

A press breakfast invitation confirms the seat, accredits the reporter and keeps the announcement out of the link. Here are the exact fields and the day-before plan.

A press breakfast invitation confirms the seat, accredits the reporter and keeps the announcement out of the link. Here are the exact fields and the day-before plan.

It is 8:40 on a Tuesday and a reporter is on the metro with a coffee in one hand, scrolling through three press breakfast invitations for the same event. The first says 'join us for breakfast'. The second lists a room and no time. The third asks for her name, her outlet and her press card number, and it opens in the browser. She answers that one.

That is the whole job of the invitation. It puts the right person in the room with the accreditation already sorted, and it says nothing about what will be announced. The news belongs in the press release, never in a link that gets forwarded forty times.

What a press breakfast invitation says, and what it keeps quiet

Logistics are fair game, the announcement is not. The invitation can carry the date, the room, the floor, the entrance, the embargo time and the questions you need answered before the coffee goes cold. The signing, the quarter's numbers or the prototype under the sheet stay out of it, even when the whole desk already suspects.

  • Date, time and exact address, down to the room and the floor: Tuesday 14, 9:00, Atica room, fifth floor, entrance on Serrano.
  • The internal embargo time, 11:00, and the contact for booking a follow-up interview after breakfast.
  • The fields you want back: name, outlet, press card number, and whether a photographer is coming.
  • The dress code, when there are cameras in the room: jacket, no tie.

Accreditation and RSVP in the same click

One link does both jobs. The reporter types their name, their outlet and their press card number, and you have a confirmation and an accreditation in the same place. No list to cross-check afterwards, no badge prepared for somebody who never replied.

There is no app to install and no account to create. The link opens in the phone browser, which means it gets answered in the metro queue with the coffee still in the other hand. Confirmations arrive inside the invitation itself, in one ordered list. Nobody rebuilds the guest list out of forty WhatsApp messages the night before.

A press breakfast invitation has one job: tell people where to be, and keep the announcement for the room.

When paper still makes sense

For the spokesperson's folder, two or three printed copies of the running order still look right. For the eighty invitations, the link is the sensible option. The limit is honest: this is digital, it does not print or post anything. If somebody needs a physical copy, print it separately and hand it over. The practical combination is a link for everyone and a few sheets for whoever is going to file them.

If the room moves from the fifth floor to the third, you edit it in the browser and everyone who opens the link sees the new version. Same link you sent on Monday, same link on the morning of the event: no second email to correct the first, no reprinted cards. Shift the breakfast from 9:00 to 9:30, change the map, change the dress code, and nobody has to resend anything. Someone always turns up without confirming, and the QR at the door opens that same invitation, so they are accredited before they reach the coffee. Build yours, test it for free before you pay, and publish it once the time is confirmed.
