Multi-City Corporate Event Invitations: Six Stops, One Link

Six cities, one link. Change the venue in Frankfurt and everyone who reopens the invitation sees the new address, time and map, with no second PDF in the group chat.

It's Thursday night and the roadshow starts on Monday. Frankfurt moves from the ballroom you booked to a second-floor room across town, and dinner shifts from 20:00 to 21:00. The multi-city corporate event invitations went out three weeks ago as a PDF in the WhatsApp group. It still shows the old address. So now you're sending a second file, then a third for the offices that missed the first one.

A digital invitation works differently. It's a web page of your own with one link that never changes. You edit the room in Frankfurt once, and anyone who opens the link again, even a guest who saved it last week, sees the new address, the new time and the new map.

When the venue moves, the PDF stays where it was

Six cities means six sets of details, and some of them will move. A hotel changes the room. A client meeting pushes the start time. A dress code gets relaxed. With a file, you have to find everyone again. With a link, the correction is already sitting there.

  • A venue can change the day before. A PDF shared across six offices turns into six versions, and nobody is sure which one is current.
  • A digital invitation is your own web page, not a file. The link stays the same, so nothing needs resending.
  • Guests who reopen it see the updated venue, time and map. There's no outdated copy saved on their phone.
  • If Frankfurt changes rooms, you edit the place once in Joy Studio. Same link, new map, no reprints.

Paper has one thing a screen doesn't: you can hold it. For six cities it also means printing, shipping and a box of cards that go out of date the moment a start time changes.

A PDF is quick to send and easy to lose. It sits in someone's phone and never updates, so if dinner moves from 20:00 to 21:00, a good share of guests will read the old time. A web invitation is shared as a link, a QR code or a message. Guests open it in any browser, with no app to install, and you can still edit it after it has gone out.

A PDF is a snapshot of your plan. A link is the plan.

One RSVP list, not six group chats

Confirmations land inside the invitation, in one ordered list. You set the questions yourself, including which city someone is attending, so you can see who's coming to Milan and who's joining in Berlin. No separate form, no spreadsheet on the side, and no chasing replies across six WhatsApp threads.

Six photos and seven languages in one template

You can add up to six photos of your own, a cover plus decorative shots, and they frame themselves. If the hotel at the last stop changes, you swap that photo and the link stays the same. The site runs in Spanish, English, Catalan, French, Italian, Portuguese and German, and the invitation content can be set per language, so each office reads the key lines in its own. Scenes split welcome, venue, dinner and closing, each with its own text and photos, and you can add music.

If your event travels through six cities, don't send six PDFs. Test the cover for free in Send The Joy, publish when the plan is set, and share one link that keeps itself up to date. When a venue changes, you edit once and every guest sees the right version.
