It is 8:40 on the first morning of the congress. A delegate is in a taxi, scrolling her inbox for the confirmation email she got six weeks ago. She cannot find it. She knows the venue is near the river, but not which hall, and not whether the cardiology symposium starts at 11:30 or at noon.

That gap is what a digital invitation closes. It is a web page of your own for the event, shared as a link, a QR code or a message. She opens it in her phone browser in the taxi, nothing to install, and reads the day, the time and the room. Everything else stays with the registration desk.

Medical congress invitations handle the notice, not the accreditation

Keep two jobs apart. The invitation tells people when and where to show up. Your accreditation system checks who they are, prints the badge and signs off the credits. When three entrances feed one queue, the bottleneck is usually the desk, not the door: delegates arrive without the registration email to hand. Put the direct link to the official registration form inside the invitation and that queue gets shorter.

  • Test the exact URL of the official accreditation form on a phone before you send anything.
  • Use a short link and check it opens in a mobile browser with no app involved.
  • Write room names the way they appear on the door sign, not the way they appear in the committee's spreadsheet.
  • List the program by session — 'Cardiology symposium, 11:30, Hall B' — with the times you will actually hold.

Credits and seats per session are not the invitation's job

Continuing education credits and seats per session are controlled where the badge is read. An invitation does not scan tickets, does not count how many people are in Hall B and does not issue certificates. Asking it to do that is how a check-in collapses.

What it can do is show the program session by session and take the delegate straight to the form where they sign up for that specific session. If someone asks whether the credits will count, send them to the scientific committee's page, not to a line of text in an invitation that someone can edit by mistake a week before.

Move a symposium from 16:00 to 17:00 without resending anything

You can edit the invitation after it has gone out, and the link stays the same. Open it that morning and you see the new time. Change the venue, the map, the dress code or a line of the welcome text, and nothing gets reprinted or resent. Text and photos are set in the browser editor, one field per detail, with a preview that updates as you type. Content can also be set per language, which helps when half the committee is flying in and the congress is announced in Spanish and English.

The invitation gets people to the right room at the right time. Your accreditation system decides who is in it.

RSVP, and where it sits next to your registration platform

Configure the confirmation form one question at a time: full name, institution, and whether they are staying for the Friday closing dinner. The answers arrive inside the same invitation, in an ordered list, so nobody rebuilds the guest list from WhatsApp screenshots. Skip the fields you cannot manage — allergies and special menus belong somewhere else, and they will end up in an email thread that never closes. If you already run a platform, the invitation is the notice and RSVP layer on top of it. If the congress is small, it covers the notice, the session schedule and the list of confirmed names, and you check arrivals at the door against that list. Try a design for free, set the cover photo and the wording the way you want them, and publish once the program stops moving.
