Gala dinner invitations: table service or buffet?

Table service and buffet change more than the menu: they change the hour and when guests stand up. Here's what to put on a gala dinner invitation.

It's 20:40 and a guest messages the host: "Is my name on a table, or do we queue for the buffet?" The invitation said "dinner at 21:00" and stopped there. So two people are guessing, one has already claimed a chair by the window, and the host is typing the same answer into three different chats. Half the confusion of a gala dinner comes from one word missing on the invitation: how the food arrives.

Table service and a buffet don't only change what's on the plate. They change the hour, and they change when your guests are allowed to stand up. That belongs on the invitation, decided before the night, not explained at the door.

Gala dinner invitations: table service or buffet

You settle the format with your caterer. You announce it on the invitation. "Dinner served, 21:00" sets a different expectation from "Buffet open 21:00 to 23:00", and guests read that difference without thinking about it. An invitation that only says "dinner" leaves the question open, and the question will reach you by message about an hour before.

  • The time of the first course, written as an instruction: "service begins at 21:15", not a bare "21:00".
  • Whether there's a seating plan or guests pick their own chair.
  • The buffet window with both ends: "open from 21:00 to 23:00".
  • The order of service: called by table, or everyone up at once.

Table service: what you have to pin down

When the food comes to the table, guests need two more facts: the exact time of the first course, and whether they sit wherever they like or there's a seating plan. "Doors close at 21:00, service starts at 21:15" keeps people from walking in mid-starter. Short beats long here — the line has to be readable on a phone screen in two seconds.

A buffet runs the other way round. The hour becomes a window, and both ends matter: "Buffet open 21:00 to 23:00" tells 120 people they don't all have to get up together. Say how the queue works, too — "tables called one by one" — or a line forms and someone ends up standing with a full plate. Dessert needs no clock on it: "Sweets and coffee until 1:00" makes clear the kitchen hasn't shut just because the mains are cleared. And the dress code sits on the same line as the format. "Formal" holds up better at a seated dinner than at a buffet where people are moving around all evening.

The hour tells your guests when to arrive. The format tells them what to do once they're there.

Change the format without resending the invitation

Say your caterer switches from table service to a buffet a week out. With a digital invitation from Send The Joy you edit the text and the link stays the same, so guests open it and read the version that's current — no new message, no reprinted card. Replies arrive inside the invitation in one ordered list, so you can count tables without chasing people in group chats, and you choose the questions the RSVP form asks. One invitation costs 29.99 EUR, paid once, no subscription, and you can add up to six of your own photos, music and your own wording in the browser editor. Guests install nothing; they open the link on a phone.
