Gala Dinner Budget in Madrid: Where the Money Goes
Which costs in a gala dinner in Madrid multiply per guest, which you pay once, and how to keep the invitation to a single 29.99 EUR line.

You're at the kitchen table with two quotes open: the venue in one tab, the caterer in another. One number says room hire, the other says per cover, and there's a footnote about service and VAT. You add it up, add ten per cent for safety, and still don't trust the total.
The problem isn't the sum. It's that half of a gala dinner budget in Madrid moves every time a guest replies, and the other half doesn't move at all. Separate those two and the number stops jumping.
Split the gala dinner budget: per head or paid once
A gala dinner is not one price. It's two stacks of costs sitting on top of each other, and they behave differently. One grows every time a guest says yes. The other is decided the day you book the room and doesn't care who turns up.
- Menu, open bar and cover charge multiply by your final headcount: one extra euro on the menu is 100 extra euros at 100 confirmed guests.
- Room, band, flowers and photographer are paid once. If 20 people drop out, none of those lines drop with them.
- Count by table, not only by person. Sixty guests at six round tables means six centerpieces, six long cloths and cutlery for ten at each.
- Write the per-head lines and the one-off lines in two separate columns before you negotiate anything.
What the caterer leaves outside the menu price
Two quotes can look 15% different and land on the same invoice. What matters is what sits outside the per-person figure: service, bar hours and the minimum headcount.
Ask whether the per-cover price includes VAT and service, or whether both get added when the bill closes. Ask how the open bar is counted, by the hour, and what the extra hour costs once waiters and sound are included. Ask about the minimum guaranteed headcount: some rooms charge that minimum even if fewer people come, which changes your real price per person.

Half of a gala dinner budget multiplies by your guests. The other half is one decision you make once, so price it once, in writing.
The room charges for things that aren't in the photo
Setup and breakdown, cloakroom, cleaning and security often sit outside the hire fee, so ask for them spelled out before you compare two rooms. And get the closing time in writing: what it costs to run over, and until when the sound can stay on.
The invitation is one line that doesn't multiply
Printed cards are priced per unit: 120 invitations, 120 envelopes, postage, and the whole run again if the time changes. A digital invitation from Send The Joy is 29.99 EUR as a one-off payment. You can edit it after you've sent it and the link stays the same. Confirmations arrive inside the invitation in one ordered list, and guests reply from their phone without installing anything. If someone wants something to keep, send the link to everyone and print a handful for the people who will actually file it away. Keep the budget in three columns — per head, fixed and variable — and treat the invitation as a closed line you can test free before you pay.
