It's 9:40 on the first morning of the convention. A franchisee who signed her first lease six weeks ago walks into the expansion keynote, because her invitation listed one date and one start time. Nobody stops her. She sits through ninety minutes on multi-unit territory planning and slips out before the coffee break.

None of that is her fault. It's a routing problem, and with franchise convention invitations it shows up early: when the link doesn't say which room belongs to which profile, every guest guesses. Some guess wrong.

Franchise convention invitations: one room for each profile

Sort the blocks before you touch the design: franchisees who just signed, existing owners in expansion, and the support team. Put the block on the cover, at the top, so nobody has to scroll to find out where they belong. Then keep the details in the same scene as the schedule, not split across three messages.

  • One label per profile on the cover: new franchisee, expanding owner, support team.
  • Room and time for every block side by side: Room A at 10:00, Studio B at 12:30.
  • The drinks location on the same line as the dress code, not buried in small print.
  • Up to six of your own photos: the shopfront that just opened, the northern team, the stage.

In the editor, every piece of text has its own field: heading, names, date, line and place. Change the line for new franchisees and leave the other fields untouched. Turn on the character counter before you write, not after you've gone over.

Add up to six photos and each one gets framed for you. Mark the one you want as the cover, swap any of them later. Franchisees flying in from abroad? The site runs in 7 languages, and the invitation content can be set per language, one at a time.

If the profile isn't on the cover, someone ends up in the wrong room.

The RSVP that asks just enough

Set the confirmation questions to two things: profile, and the session they're attending. That's it. Answers arrive inside the invitation in one ordered list, so counting by hand stops and nobody chases replies on WhatsApp. Put the closing date on the same line as the drinks time, where it actually gets read.

Change the time without resending anything

If the drinks move from 20:00 to 21:00, or the dress code becomes dark suit, edit the invitation. The link doesn't change and no one gets a correction message: guests open the link they already have and see the corrected map and time. You can edit after sending, with confirmations already sitting in the list.

Before you build the agenda, try the cover for free and decide what each profile sees. When the link is ready, publish it with one button and the answers land in one ordered list. It's €29.99 per invitation, paid once, with no subscription, and any change afterwards never means sending anything again.
