The press list goes out on a Tuesday morning. By the afternoon, a journalist on the U8 taps the link and gets a blank page, and the message that was meant to sell your Berlin launch is now a message about your website. That is the whole cost of one unchecked link. A digital invitation is a web page, not a PDF, and you can build and send one today from the catalogue: no designer, no print run, no waiting.

The five mistakes below share one trait. They look tiny on a laptop in the office and they get expensive in the room. None of them needs a developer, just ten minutes and someone who opens the invitation the way a guest will.

Test it on an iPhone and on an Android phone, on mobile data, not on the office wifi. Whoever opens it is in a subway, in a taxi, or on a rooftop terrace with one bar of signal. If it loads there, it loads anywhere.

  • Open the link on iPhone and Android, on mobile data, before it goes to the press list.
  • Send a link, not an 8 MB PDF: if the guest has to download a file or install anything, half the list stops at the third second.
  • Check that the link doesn't expire and doesn't ask for a username and password. It should open the event page straight in the browser.
  • Ask one person outside the company to confirm as a guest, with no instructions from you, and watch the answer land in your list.

How to create digital invitations for a Berlin product launch that survive the night

The address needs the name of the venue and a map link that opens on the first tap. 'Kreuzberg, near the canal' leaves people walking in circles on Oranienstraße. Write the time with the time zone when the list crosses borders, because 19:00 CET reads one way in a London newsroom and another in Madrid. And write the dress code as one real sentence: 'smart casual, the terrace is cold after ten.'

Keep the confirmation inside the invitation. 'RSVP by WhatsApp to +49...' ends as a list of names copied by hand at 23:00 the night before. Leave only the questions you will actually use: name, attendance, plus-one. Every extra field is an excuse to deal with it tomorrow, and tomorrow you are hanging lights.

A digital invitation that only speaks German in an international room

A Berlin press list is German, English and often Spanish. If the invitation arrives in one language, half the room reads the headline and guesses the dress code. Set the content per language and send each group the link that fits, instead of pasting a translation into the body of an email. Watch the names, too: one missing letter in 'Platz' sends your guest to the next street.

A digital invitation is the only part of your launch you can still fix at 18:40 on the day.

The last-minute change that forces a full resend

Move the toast by half an hour or switch rooms and a new link leaves half the list holding the old version in a WhatsApp thread. With a digital invitation you edit after sending and the link stays the same: whoever opens it sees the updated time, map and dress code. If someone wants something to keep, print a few cards for them, twenty rather than two hundred. Then check the guest list one last time and close the laptop.
