Five offices, one event. You open the shared folder and find five files: German for Zurich, French for Geneva, Italian for Milan, and two more nobody is sure are the latest. Someone moves the start time by half an hour and three of those files are now wrong. A digital invitation from the catalogue handles the whole multilingual corporate event in one place: you pick a design, edit it in the browser and send it the same day. One link, several languages, one reply list.

Here is what actually matters when you set it up: keeping the versions under control, keeping the replies in one place, and knowing what to say when head office asks for something printed.

A digital invitation for a multilingual corporate event, not five separate PDFs

A digital invitation is a single web page with a single link. The content can be configured per language, so the Zurich team reads German and the Geneva team reads French — same design, same date, same details. Guests open it in the browser on a phone, a tablet or an office laptop, and nothing needs installing. That last part matters: nobody gets locked out because their work device blocks a download.

  • Write each language in its own field: heading, names, date, line and place.
  • Watch the character counter as you type — a translation that runs long shows up before the managing director sees it.
  • The preview updates as you edit, no reload, so you can jump from German to Italian and compare the same layout in seconds.
  • Add up to six of your own photos, cover and decorative, and replace any of them later if the venue changes.

How to create digital invitations with one RSVP list

Replies arrive inside the invitation, in one ordered list. No spreadsheet where somebody pastes screenshots of private chats, no thread where the Milan answers sit buried under the Zurich ones. You configure the questions on the confirmation form: which office each person is attending, and the name they want on the list.

And if someone answers in the usual chat group instead, nothing breaks. The link is the same one, and their reply is recorded when they open it.

A five-country event shouldn't look like five different events. One link keeps it as one.

German text takes more room than French

Put "Aperitif im Foyer" where "Cocktail de bienvenue" used to sit and the block changes shape. So check every language in its own field before you hit publish. Each detail has its own field — heading, names, date, line, place — with a character counter next to it, and the preview refreshes while you type. Switching from German to Italian to check the same layout takes seconds, not a round of emails with a designer.

Changing the time shouldn't mean resending anything

You can edit after sending and the link stays the same. Move the time, change the venue, update the map or the dress code, and guests see the current version — no "corrected invitation attached" email that half the company never opens. You can also swap the photos: up to six of your own, and you decide which one opens the invitation.

Pick a design, try it free by editing the cover, and publish once the text reads well in all five languages. Guests need a phone, a tablet or a computer with a connection — that's the only real requirement, and on a corporate list everyone already meets it.
