Digital Invitation for a Hybrid Corporate Event: Guide

A digital invitation that works for both rooms: one link for the people in the venue and the ones on the stream, with every RSVP in one list

Tuesday, 9am. Forty people will walk into a room in Leeds, sixty will watch the same session from a laptop in Lisbon, and you have one email to write. Somebody in the coordination chat asks what time it starts. You're about to answer with two different times, in two different messages, and hope nobody mixes them up. It doesn't have to work like that: a digital invitation for a hybrid corporate event holds both versions of the day, and you can pick one from the collection and send it today.

Digital invitations for corporate events aren't PDFs with a logo on top. Guests open a page of their own in the browser and reply from there. Nothing to install, nothing to print, and no second email when a time moves, because you can edit the page you already sent.

The same link carries two timings, and each guest reads the one that applies to them. Doors open at the venue at 6pm; the stream starts at 6.30pm. Whoever is coming in person scans the QR at the building. Whoever is watching from another city opens that same invitation twenty minutes earlier and already knows when their part begins. Confirmations come back inside the invitation, in one list, from a phone, a tablet or a laptop in whatever browser is already open. No app, no account.

  • Venue address and door time on one side, streaming time and join link on the other.
  • The join link and the room passcode, on the last scene of the invitation.
  • RSVP questions you actually use: name, company, and whether they come in person or join online.
  • A contact line for technical questions in the days before the event.

If the keynote slips by half an hour, you edit it in Joy Studio and the link already sitting in the internal email and in the coordination group shows the new time. Change the room, the map or the dress code and it works the same way. Guests see the updated version every time they open the invitation, and you never explain a correction in a follow-up message. You sent that link on Monday; it's still the right one on Thursday.

The page doesn't have to look like a grey PDF either. The invitation is a run of scenes — the cover with the event name, one for the programme, a final one with the join link — and each scene takes its own text and photos. You can upload up to six of your own, the venue or the room you're streaming from, and pick which one goes on the cover. Text fields come with a character counter, so a long sponsor name doesn't break the layout, and the invitation can be written per language for each office.

The programme can change four times. The link you sent on Monday is still the right one on Thursday.

How much does a digital invitation for a corporate event cost?

An invitation costs 29,99 EUR, one payment and no subscription. You can try it first: in test mode you edit the cover without paying, and buying unlocks every scene of the invitation. One thing worth saying plainly: it's digital, so it doesn't print or post anything. If somebody on the committee wants paper, the sensible mix is a link for everyone and a few printed copies for the people who will keep them. Build the invitation before the next call-for-attendance email goes out, and you won't have to send a second one to correct a time.
