Digital invitation etiquette: the gala dinner head table

A digital invitation that names who presides, sets the dress code and keeps every reply in one list. Head table etiquette for a gala dinner, sorted before the menu

You're holding the seating plan in one hand and a glass in the other, twenty minutes before the toast. Forty people, one long table, and someone has just asked where they sit. That's the moment head table etiquette for a gala dinner stops being theory. Settle it on the invitation and nobody has to ask you anything at the door. You can pick a design from the catalogue, fill in the names and publish a digital invitation today; the link goes out the same afternoon.

The rules are old and short: who presides, who sits at their right, what to wear, when to reply. What changes is where you write them down. A printed card can't be fixed at six in the evening on the day of the dinner. A link can.

The head table is announced, not guessed

On a gala dinner invitation, say who presides: the hosts, the guest of honour and, if there is one, the person representing the institution or the family. A sober way to do it is a small block titled 'Head table' with three names and one line underneath: 'The rest of the table is confirmed at reception.'

  • Name the hosts and the guest of honour on the invitation, with the title each person actually uses.
  • Put the guest of honour on the right of whoever presides; their partner takes the opposite side.
  • On a long table, seat the second guest of honour on the right of the other half of the hosting couple.
  • If you prefer discretion, announce only who presides. Etiquette is still met as long as nobody arrives at the table guessing.

Seating, dress code and replies, decided before the menu

Alternate the seating so each person sits next to someone who isn't their partner. On a round table of ten with five couples, that means no couple side by side; alternate interests rather than genders and the conversation survives the second course. Don't put two people with an open argument together because protocol says so: the head table sets the order, not the guest list. If someone drops out at the last minute, move a name up from the next table instead of leaving a gap beside the host.

Write the dress code in one line and no irony: 'Black tie' or 'Lounge suit'. One clarifying clause does more than any adjective — 'jacket and tie, long dress' ends the guessing. Give two times: aperitif and dinner. A guest in a dinner jacket who arrives two hours early feels out of place, and two timings save a hundred messages asking for the exact hour.

Protocol isn't decoration. It's the shortest way to tell forty people where to sit, what to wear and when to arrive.

Where a digital invitation fits a gala dinner, and what it costs

A gala dinner moves: a time, a place, the map, the dress code, the line about who presides. With a digital invitation you edit after sending and the link stays the same, so nobody opens a stale version. That flexibility is why digital invitations suit a dinner with a fixed head table. It's a web page for your event, not a PDF: you share it by link, QR code or message, and guests open it in a browser without installing anything. In Joy Studio you fill text field by field, watch the preview as you type, add up to six photos, music and your own RSVP questions. The price is 29.99 EUR per invitation, one payment, no subscription, and you can test the cover for free before you pay. If an aunt wants something for the drawer, print a few copies yourself and send the link to everybody else. Pick a design and send the invitation tonight.
