It is 18:40, the cars arrive at eight, and someone at the embassy is reading the invitation again. The heading says H.E. Carlos Lefevre. The accent is missing, the spouse has disappeared behind an "and guest", and the dress code says "formal" in a room where decorations will be worn. All of it is fixable in a digital invitation from the collection, and you can build and send one today.

Etiquette for a gala dinner with ambassadors is not a matter of style. The heading is the first thing a guest reads and the first thing they notice when it is wrong. Below is what goes in each field, and what does not belong in the invitation at all.

Write the full form of address in the heading field: His Excellency the Ambassador for an accredited head of mission, not a first name. A spouse is not an addition — they are named with their own name, and their own title if they hold one. Order matters too: host, then guest of honour, then the rest by rank. In the editor each of those is a separate field, so you change one line instead of rewriting an envelope.

  • Full form of address for every guest, with a spouse named separately when they hold a title.
  • Precedence checked before you publish: host, guest of honour, then the rest by rank.
  • Dress code spelled out: black tie or formal, and whether decorations are expected.
  • Arrival time and dinner time, with the address and the map in the place field.

Dress code and times: write them down, don't leave them to be guessed

Black tie is not enough when the room expects decorations. Say whether you want sashes or miniatures worn. A guest who has to guess calls the embassy at six in the evening, and someone has to answer the phone during the seating rehearsal.

Times need context. If drinks are at 19:30 and dinner at 20:00, both appear; a bare 20:00 brings half the table in during the first toast. Every detail sits in its own field — heading, names, date, phrase, place — with a character counter and a preview that updates as you type. Up to six photos fit the invitation, cover plus decorative ones, so a picture of the dining room does more work than a generic crest.

A form of address is the first line of the evening. It is read long before the menu.

Digital invitations fix a title without resending envelopes

If a guest changes their companion, or a surname comes back with the wrong accent, you edit the text and the link stays the same. No second envelope, no correction email. Guests open the same invitation in any browser — no app to install — and confirm from the phone.

The confirmation arrives inside the invitation, in one ordered list, with the questions you have configured. What it does not collect is allergies, menus or intolerances, and there is no gift list, no seat map and no capacity check. That is a phone call or a separate courtesy note. If you want paper for the mission's file, the sensible version is a link for everyone and a few printed copies for the archive.

How much does a digital invitation for a gala dinner cost?

One invitation costs 29,99 EUR, paid once, with no subscription, and you can try a design free by editing the cover before you pay. The site runs in seven languages — Spanish, English, Catalan, French, Italian, Portuguese and German — and you can set the invitation content per language, which is the difference between Lefèvre and Lefevre, and between Côte d'Ivoire and a half-translated country name. If the etiquette is settled before the first guest sits down, pick a design and send the link today.
