The list moves until the last day. A supplier confirms on Tuesday and on Thursday morning says he can't make it. Two people from the Manchester office are added on Friday. If you are paying per attendee, every one of those changes lands on the bill. A digital invitation doesn't work that way: you pay once and the list can breathe. You can create and send yours today from the catalogue.

Here is the number that matters for a corporate event in London: 29.99 EUR, one payment, no subscription. Book 80 chairs in a Shoreditch room, get 62 confirmations, and the receipt looks exactly the same.

A digital invitation doesn't charge per head

With a per-attendee model, each new name opens a new line on the invoice. Here the price is a single one: 29.99 EUR per invitation, paid once. If the list goes from 40 to 65 because the Manchester team joins, the maths doesn't move. What changes is how many people open the link, not what you owe.

  • One payment of 29.99 EUR per invitation. No monthly fee, no per-guest charge.
  • Three months of preparation before a product launch in the City adds no cost, because you pay once.
  • You can test it free: in trial mode you edit the cover without paying, and buying unlocks all the scenes.
  • Going from 40 guests to 65 doesn't change the price. It changes the number of people who open the link.

What the 29.99 EUR actually includes

That payment unlocks the event's own web page: linked scenes, up to 6 of your own photos, music and a confirmation form you can configure. It is not a PDF or an image forwarded by email. Guests open it in any browser, on a phone, and answer from there. No app to install.

Changing the time, the venue, the map, the dress code or a line of text doesn't force you to resend anything. The guest opens the same link as always and sees the updated version. That is the cost that disappears: no reprints, no second round of emails.

How to work out your real cost per attendee

Do the division with the people who actually turn up. 29.99 EUR across 60 people at a working breakfast in the City is about half a euro a head. With 25 in a small room in Farringdon, it's still less than a coffee. Use your own list, not an invented average: note how many you expect, how many have confirmed, and how many showed up at the last edition. Then add what the paper version really costs — reprinting programmes after a time change 48 hours out, and sending them again.

A QR code on the reception screen or in the internal email signature: guests open it in their phone browser. Content in 7 languages, which helps when colleagues arrive from the Milan or Frankfurt office, since the invitation text can be set per language. One URL to share by message or email. And if someone asks for paper, the sensible option is to combine: a link for everyone, a few printed copies for whoever wants to keep one.

  • Check whether the price is a one-off payment or a subscription: a monthly fee costs more the longer your run-up.
  • Make sure the RSVP lands on the same page in an ordered list, not in an inbox someone has to sort by hand.
  • Ask if you can edit time, place and map after sending without changing the link or resending anything.
  • Try the design in trial mode before paying and check how it looks on a phone screen.
  • Count the guests you genuinely expect, not the ones you invited: that is the figure you divide the price by.

Run the numbers with your real list and you'll see the price doesn't depend on how many sign up in the end. Publish the digital invitation for your London event and get the confirmations on the same page.
