Digital invitation for a corporate event with workshops
A digital invitation can collect the workshop choice at the moment someone confirms — no side spreadsheet, and one link that updates when a room changes

You are booking three rooms for the same afternoon and the programme goes out on Monday. One reply lands in your inbox, another in a WhatsApp group, and by Thursday you are copying names into a spreadsheet you never wanted to open. A digital invitation can take the workshop choice at the moment someone confirms. You can pick a design from the catalogue, edit the cover and send the link today.
Here is the setup we would use for a one-day corporate event with three parallel workshops: where the question goes, what happens when a room changes, and the parts you still have to handle yourself.
A digital invitation takes the workshop choice inside the RSVP
Add the workshop question to the confirmation form, one option per workshop, written the way it appears in the programme: "Workshop A — Customer analytics", "Workshop B — Supplier roundtable", "Workshop C — Data and privacy". People choose when they confirm, not in a separate email afterwards. The answers arrive inside the invitation, in an ordered list of confirmations, so nobody transfers names from a chat thread into a sheet.
- Name the workshops exactly as they will appear in the RSVP question: "Workshop A — Customer analytics", not "Option 1".
- Write the confirmation deadline in the agenda scene, with the time included.
- Add a photo of each room so people recognise where to walk in on the day.
- Open the link on a real phone before sending it and check the workshop question reads without zooming.
How to create digital invitations for a corporate event with workshops
Build it in scenes: a cover with the conference name and date, an agenda scene, a workshops scene with the choice question, and a logistics scene with the venue and map. Each scene has its own fields for text, so you edit the room name without touching the running order.
Upload up to six of your own photos — last year's room, the poster for each workshop, the front of the building. They frame themselves, and you can swap any of them afterwards. Use the character counter on each field so the full workshop title does not get cut on a phone screen. Site and invitation content work in seven languages, configurable per language, which helps when attendees come from several European countries.

The workshop question belongs in the confirmation, not in a follow-up email.
What it does not do, and how to cover it
It does not send automatic reminders to people who have not answered. Block twenty minutes, open the confirmation list and write to the ones still missing. It does not control capacity or assign tables: it records the preference, and your committee does the split with the policy it already approved. It does not collect dietary needs or access requirements either, so if catering asks for them, open a separate channel and say so in the logistics scene.
One link that stays right while the programme moves
If Workshop B moves from Room 3 to Room 5, you edit the scene and the same link shows the new room. Nobody resends the internal email or messages people one by one. Change the time, the venue, the map or the dress code the same way — guests always see the current version. Keep one link in the secretariat's email signature, the internal channel and the welcome message, so three versions of the programme never circulate at once. Pick a design, edit the cover and publish once the committee gives the go-ahead.
