Digital invitation: a virtual plan B for corporate events
Digital invitation for a corporate event that switches to virtual: one link guests can open, a plan B line before the RSVP, and an edit that keeps the URL
Send The Joy · October 10, 2026 · 4 min read

Forty people booked on a sales kickoff, a meeting room held at a hotel near the station, and an email on Tuesday morning saying the room is gone. The invitation went out three weeks earlier with an address and the line "see you there". Now there are twenty messages in the group chat, four people asking whether the day still happens, and nobody who can answer all of them at once. You can build and send a Digital invitation from the catalogue today (29,99 EUR, one payment, no app for your guests to install) and settle that question before it starts.
A corporate event virtual plan B is not a second event. It is one line on the page your guests already have open, written before the venue gets a chance to let you down. Decide it afterwards and you are not planning anymore. You are apologising.
The mistake: a corporate event virtual plan B that arrives the day before
The pattern repeats because it is easy. The invitation points at a room, the fallback ends up in a chat, and the online version gets decided when the problem is already at the door.
- The invitation names a room and nothing else. If the room or the travel fails, every guest decides alone whether to turn up.
- The fallback lives in a group chat. Eighty messages, twenty replies, and nobody certain the event is still on.
- The online version is decided the day before. By then, whoever had to book a flight or block a morning has already said no.
- Someone sends a new version. A fresh PDF, a fresh email, and half the guest list still reading the old one.
Put the plan B inside the Digital invitation, not after it
The plan B goes where your guests already look. One visible line before the RSVP does the work: "If the event moves online, you will see it on this same link." Nobody digs through an old email, and nobody has to trust a rumour.
Then use a scene you already have. Rename Long dinner to Live session, swap the room for the meeting link, and set the start time in the local format. The page updates, the link stays the same, and you do not resend anything. Guests open the same invitation and read the current version.

A plan B inside the invitation is a promise. A plan B in a group chat is a rumour.
What guests need to know before they confirm
Guests decide with whatever is in front of them. If the room cannot be used, where do they connect? That link belongs on the invitation page, not in a separate note. The time needs to be readable in the local format, too: a Berlin event with guests in another country should not make anyone guess whether 9:00 is their 9:00. And the confirmation form can ask the question your team actually needs, such as whether the person would join online if the format changes. The answers arrive inside the invitation, in one ordered list, instead of in a chat you have to chase.
A checklist so the plan B doesn't look like an excuse
Write the plan B in one line and keep it plain: "If the event moves online, we will say so on this page." Prepare two versions of the place field, the physical room and the online session, so switching is editing a detail rather than inventing a message at speed. Then open the invitation on your own phone, tap the link and confirm: if the time and the place are not clear in two taps, the plan B does not exist for anyone in a hurry. One link covers everyone. Five PDFs cover nobody.
A venue that cancels, a flight that gets grounded or a speaker who cannot travel does not have to turn your corporate event into a thread of questions. Build the invitation, publish it, and keep the plan B visible on the same link from before the first confirmation. Your guests see one page. You keep one list.
