The venue manager has just told you there are four steps at the main entrance. Fine for most of your guest list, a problem for somebody on it, and you have no idea who. What you don't want is to ring forty people one by one to ask. A digital invitation for an accessible corporate event puts the question where people already look: the link on their phone. You can pick a design from the catalogue, add your details and send it the same day.

The information sits in the invitation and the answer comes back inside it. No awkward call, no guessing, no note lost in a chat thread that scrolls away by Thursday.

Asking about access without an awkward phone call

You don't need a section titled Accessibility with a capital A. One neutral line near the date does the job, plus one open question in the confirmation form. Guests who need something tell you. Guests who don't skip it. Nobody has to explain anything to a stranger on the phone.

  • Put one line on the cover or next to the date: "The space is accessible. Tell us when you reply if you need an adjustment."
  • Add an open RSVP question: "Is there anything you need to take part comfortably?" Short, and it doesn't name a disability.
  • Keep the answer in writing. It arrives in the confirmation list inside the invitation, not in a call you forget by Friday.
  • Give a date: "Let us know before 15 May and we can organize it." Without a deadline, the question gets answered at the door.

Why a digital invitation handles access logistics better

Things move. You switch from the upstairs room to the one with level access, or the reserved parking turns out to be on the other side of the building. With a digital invitation you edit the text in Joy Studio and the same link shows the new version. Nothing to resend, no corrected attachment, nobody arriving at the wrong door with last week's directions.

Guests open the link in a browser on their phone. No app, no download, no password. They read the access note at their own pace and zoom in if the type is small. Your side is just as simple: replies collect in an ordered list inside the invitation, so when the venue asks how many people need step-free access, the answer isn't buried in a group chat.

If the access information isn't where the guest is already looking, it doesn't exist.

How to write the access note for an accessible corporate event

Be concrete about the building, not about the person. "Step-free entrance on the side street, a lift up to the main room, accessible toilet on the ground floor, two reserved parking spaces by the door" tells someone what they need to know. Then add a route to a human: "For any adjustment, email events@yourcompany.com by 15 May." Skip the euphemisms. "If you use a wheelchair, let us know" is clearer than "if you have special needs", and clearer still than saying nothing. Three mistakes worth avoiding: asking by phone the day before, assuming nobody needs anything so leaving it out, and hiding the details in small print at the bottom of an attachment.

Your next corporate event can be inclusive from the first click. Choose a design, write the access line once, and let the RSVP do the asking. If the details change, you edit them and the link stays the same. One invitation costs 29.99 EUR, paid once.
