Corporate Event Invitations: Two Venues, One Link

The same corporate event, two offices, one link: what changes when you swap printed envelopes for a digital invitation, and what stays on paper.

Two days before the offsite, the dinner moves from 9pm to 8.30pm and the dress code switches from business casual to black tie. The Madrid office has 120 printed envelopes with the old time on them. Milan has 80 more. Same typo in both cities, and a round of calls to fix it.

That's the case for a digital invitation when one corporate event runs in two venues. One page, one link, and no second print run for the second city.

With paper, each office asks for its own copies and each copy carries its own risk of being wrong. With a link, the details live in one place you can edit, and both teams read the same version.

  • Paper means two print runs: 120 envelopes for Madrid and 80 for Milan, with the same wrong date reproduced twice.
  • A digital invitation is one link or one QR code, shared through internal email, Slack or WhatsApp. Nobody has to guess how many copies to print, because there are none.
  • If the Lisbon room moves to another floor, you edit the location and the map in the editor. The link stays the same and both offices see the update without anyone resending anything.
  • A QR on the meeting room screen covers the office that joins late. Nobody needs the invitation in hand to find the room.

When the time changes on Thursday

Corporate events move. The dinner shifts, the dress code tightens, someone adds a line about where to park. On paper that's envelopes in the bin and another round of calls between two offices.

On a digital invitation you change the time, the line and the dress code, and guests see the new version the next time they open the same link. Nobody gets a second message and nobody has to admit they lost the first one.

If the same event happens twice, the invitation only needs to be written once.

One invitation, two languages

The site is available in Spanish, English, Catalan, French, Italian, Portuguese and German, and the invitation content can be set per language. If the Barcelona and Munich teams don't share a working language, each reads the same event in their own. Guests open the link in the browser on a phone, a tablet or a laptop, with no app to install and nothing that depends on the operating system of the office laptop.

Every RSVP lands in the same list

Confirmations arrive inside the invitation itself, in one ordered list rather than two inboxes and two parallel email threads. You choose the questions: for example, whether someone is coming to dinner only or also to the morning session, with an answer you can read at a glance. The person running each venue opens the same link and sees the same list, and nobody has to chase replies on WhatsApp. Paper still has its place. Send The Joy doesn't print or post anything, so if your director wants a card in hand, the sensible mix is the link for everyone and a few printed copies for whoever will keep one. Try the invitation for free, edit the cover, and decide afterwards whether it's worth paying €29.99 once for both venues.
