Corporate Event Invitations: QR Check-In That Works
In a corporate event, the QR shouldn't open an old PDF. It should open the current invitation: room, time, map and RSVP. Here's how to set it up.

Someone walks into the lobby at 8:40, phone in hand, and shows the QR code from the message you sent three weeks ago. The phone opens the invitation in the browser: the room, the time, the map, the dress code. No app to install, no PDF buried at the bottom of an email thread, no "can you send it again, I can't find it".
That's what QR check-in for corporate events should look like. The code itself doesn't do the work. It opens the right page, the current one. Everything else — who's coming, what changed at the last minute — happens inside the invitation.
Corporate event invitations: what the QR actually opens
In a corporate setting, the code doesn't lead to a file. It opens a web page built for your event, in the guest's own browser. They see the room, the time, the map and the dress code without installing anything. If a supplier arrives at reception with the same QR, they're looking at the same version as everyone else, not an attachment downloaded last Tuesday.
- One link and one QR, opening exactly the same invitation on a phone.
- The same link goes to the whole list — no separate versions to keep track of.
- Texts can be set per language: Spanish, English, Catalan, French, Italian, Portuguese or German.
- A dress code in one clear line: 'dark suit' or 'business casual'.
The RSVP lives inside the invitation
Confirmations arrive in one ordered list inside the invitation itself, not in a spreadsheet somebody else has to maintain. You choose the questions on the reply form. Name and attendance are enough for most events, and you can leave out the fields nobody is going to fill in.
Guests answer from their phone in a couple of taps. When someone confirms, the answer is already on the list. No chasing replies in a group chat, no rebuilding the guest list by hand the night before.

The QR doesn't check anyone in. It opens the invitation that already knows the current version.
Change the time without reprinting anything
If the room changes the day before, you edit the venue, the map or the wording. The link stays the same and the QR keeps working. Guests see the updated version the next time they open it, so nobody has to be told twice.
Where the QR fits, and where it doesn't
This is fully digital: nothing is printed or posted, and guests need a phone, tablet or computer with a connection. If your venue still wants a physical credential, the sensible combination is a link and a QR for everyone, plus a few printed copies for whoever will keep one. The QR doesn't replace signage at the venue or staff at reception. There's no app to install and no subscription: €29.99 per invitation, one-time payment.
Start with a free design and see how your event looks on a phone. When the wording reads right, publish it and share the QR. After that, changes travel on their own.
