You send corporate event invitations for international guests. One guest reads 19:00 in Mexico City. Another reads 19:00 in Madrid. Same line on the invitation, different hour on the clock. Two guests in different countries look at the same line and make two different plans. Then the personal emails start, one by one, because nobody wrote the time zone.

The fix is not a longer PDF. It is one link that says what needs saying, in the languages your guests read, and updates when the plan changes. Here is how to build it without turning your inbox into a help desk.

Corporate event invitations for international guests: time, language, airport

Before you pick colors or a font, collect three things. The time with its time zone. The language each guest needs. The airport and the transfer time. Miss one, and you spend the week answering messages the invitation could have answered. A guest in Singapore should not have to ask which city the time refers to. The invitation is a web page, not a PDF, so you can put all three in plain sight.

  • Write the time zone next to the main event time, with a reference city: 19:00 CET, not just 19:00.
  • Set the invitation content by language. The same link can read in English for one guest and in French for another.
  • Add the exact address, nearest airport, transfer time and the latest arrival you recommend.
  • Give the dress code with one example: 'jacket, no tie' or 'smart shoes, no heels' beats 'formal'.

Change the dinner time or the dress code and you do not resend anything. Edit the invitation and the same link shows the new version to everyone. When someone asks 'where was it again?', you forward the same link, not a PDF called programme_v3_final.pdf. Put the QR on the boardroom screen for the person who joins the event two days before and is not on the original email list. The same link can also carry the map, the schedule and the dress code, so the answer is always current.

Guests do not install an app. They open the link in the browser they already have and reply from the phone. The invitation is built in scenes, so the cover, venue, dinner and closing follow the order of the day. You can add up to six of your own photos, and each one frames itself. Swap a photo later and the rest stays where it was. Music and RSVP questions are part of the same link. If the committee wants a few printed copies for the archive, print a handful. Send the link to everyone else.

One link, written in the languages your guests read, updated for every time zone.

The RSVP you don't chase on WhatsApp

Confirmations arrive inside the invitation, in one ordered list. You can set the questions, so you can ask about dinner, the plant visit and the morning session as separate questions. Be honest about the limits: allergies, menus, intolerances and transfers do not live in this RSVP. Use a separate channel for those. The price is 29.99 EUR per invitation, one payment, no subscription. Test it free: edit the cover without paying, and buying unlocks every scene. Pick a design and publish one link that works for Mexico City, Madrid and Singapore at the same time.
