Corporate event invitation ROI: what to measure

Your event's ROI starts at the invitation. Here's what to measure, what changes when the time moves, and why one link replaces a box of envelopes.

Your event's ROI starts at the invitation. Here's what to measure, what changes when the time moves, and why one link replaces a box of envelopes.

The venue emails on a Tuesday. Your corporate event moves from 19:00 to 20:30, and drinks move from the terrace to the bar inside. In a drawer there are 120 printed cards with the old time, and 60 of them are already in envelopes. So now you choose: reprint the lot, or send a second message apologising for the first one.

That is what eats your corporate event invitation ROI. Not the design — the reprints, the re-sends, and the hours someone spends collecting answers by hand. A digital invitation fixes the dull part: one link stays the same while what sits behind it changes.

Every reprint is a new order

Printed cards freeze a decision. The moment that decision changes, the paper becomes waste.

  • The event moves from 19:00 to 20:30. The same link shows the new time and nobody has to resend anything.
  • A change of venue or dress code does not trigger a second batch of envelopes or a round of phone calls. You edit it in the browser and the link stays the same.
  • The cover photo you were not sure about gets replaced after the invitation has gone out. No reprint, no new envelope.
  • Every guest sees the current version, whether they open it on a phone at breakfast or a laptop at their desk.

The WhatsApp thread is not a record

A hundred replies spread across three groups and two private chats are a hundred pieces of information that somebody will count by hand the night before the event.

A thumbs-up does not tell you how many people are coming or when they will arrive. The RSVP form sits inside the invitation and collects confirmations in one ordered list. When a guest confirms, the answer is already where you are going to read it.

The return on your event starts at the invitation, not at the door.

Corporate event invitation ROI: the numbers you can count

You do not need invented percentages. Count three things, all of them visible in your own account.

  • Confirmations received. The RSVP list is your real number of guests, not a guess at how many people opened the link.
  • Rounds of re-sending avoided. Every time you change the time or the place without sending anything again, you have saved a batch of messages and a reprint.
  • Hours of your team's time. Time how long it takes to gather replies by chat, then compare that with opening one list that is already in order.

One price instead of order after order

29.99 EUR per invitation, paid once. No subscription, no monthly fee, no extra charge per guest who confirms. Digital means no stationery and no physical post — if someone wants paper, the sensible move is a few printed copies for the people who will keep them.

You can try it before you pay: in test mode you edit the cover, and buying unlocks every scene of the invitation. What you end up with is one page:

  • An RSVP form on the same page, with the questions you set
  • One field per detail — headline, event name, date, place — so you change only what changes
  • Up to 6 of your own photos, with the cover marked and replaceable after publishing
  • One link and one QR code, shared by email, chat or a poster in the office
  • An RSVP deadline written into the text, because there are no automatic reminders

Before you approve the next stationery order, work out how many hours and how many re-sends it will cost you. Divide the total by confirmed guests, not by invitations sent. With a link at 29.99 EUR per invitation, you edit, publish and close the event with the list of confirmed guests in front of you.
