Trade fair booth appointments: 3 mistakes that fail
Book a client at your booth without a time, a place to sit and a next step, and they walk past. Here are the three mistakes and the 15-minute slot that works.

Day two of the trade fair, 11:40, aisle C. Yesterday you told a client: see you tomorrow at the booth. He hasn't come. You check your phone, then the door of the hall, then the aisle again. Client appointments at a trade fair booth often die like that, in ten quiet minutes of waiting.
The client didn't forget. The appointment was never built. Three things break it: no fixed time, a WhatsApp that sinks in the noise of the hall, and a booth with nowhere to sit. Fix those three and you stop waiting for people who aren't coming.
A booth appointment without a time is not an appointment
'We'll meet at the booth tomorrow' is a wish, not a booking. The client walks past, or arrives when four people are already at your counter. Give one exact time and one exact length: Thursday at 11:15, fifteen minutes, high table by the counter. If that doesn't fit their day, offer two slots, 11:15 or 16:30, instead of 'whenever works for you'. That way you set the rhythm of the booth, not the aisle.
- Exact time and length: Thursday 11:15, 15 minutes, booth B12.
- Two options, never an open door: 11:15 or 16:30.
- A known spot inside the booth: high table by the counter, two chairs, water, a sheet with their name.
- A 10-minute alarm on your phone, not on theirs.
A WhatsApp message gets lost between aisles
A message with no time and no meeting point drowns among dozens of chats. By the time the client opens it, your booth number and your hall are gone from their head. 'I'm at the fair, come by' hands them homework: find you. Send a link or a QR with the exact spot and the time.
And don't chase confirmations one by one. If the time, the place and the length aren't fixed on the spot, day three and its noise take the appointment away. 'Let's see' is not a booking.

A booth appointment is not a name on your list. It's fifteen minutes with a time, a chair and a next step.
Nobody at the booth is ready to receive them
The client arrives and there's nowhere to sit, no water, no free table, and a colleague interrupts to greet someone walking past. A trade show appointment is a bubble. Keep it: two chairs, water, a sheet with their name on it, and a rule that nobody breaks the conversation. If your phone rings or somebody waves from the aisle, the attention is gone and the client is already scanning the next booth.
The 15-minute slot that actually works
Fifteen minutes is enough if it has a shape. Start at the exact minute, even if the visitor before them is still talking; if you start five minutes late, they are already on their phone. And you end it: 'I'll send you the invite to the after-fair event' or 'see you on the 12th at 10:00'. Nobody leaves the table without a next step.
If that next step is a company event after the fair, a digital invitation from Send The Joy does the work. It's a web page for the event that you share with a link, a QR or a message, and your guests install nothing: they open it in a browser and reply from their phone. Change the time, the place or the dress code after sending and the link stays the same. It costs 29,99 EUR per invitation, one payment, and it's available in English, Spanish, Catalan, French, Italian, Portuguese and German, with the invitation content configurable per language. Confirmations arrive inside the invitation, in one ordered list, and you set the questions on the RSVP form yourself. You can try a design before you pay anything.
