Casino gala dinner invitations: put the chips in writing

Two times, one dress code, and an honest line about the chips. What a casino gala dinner invitation has to say before your guests arrive.

Two times, one dress code, and an honest line about the chips. What a casino gala dinner invitation has to say before your guests arrive.

The casino gala dinner invitation said 8 pm. He arrived at 8 pm in a dinner jacket and spent twenty minutes standing in a hotel lobby with a glass in his hand, watching a set of closed double doors. Nobody that night was late. The invitation just never mentioned the reception.

A gala dinner with casino tables comes down to four lines of text: when to arrive, what to wear, whether the chips are on you, and by when to reply. Write them once, clearly, and the evening starts on its own. Leave them out and you spend the first hour answering the same questions at the door.

Give two separate times, on two separate lines: reception at 7:30, dinner at 8:15. If dinner really starts at 8:15, write 8:15. Putting 8:00 so guests turn up early punishes the people who read carefully — they arrive on time and find the first line of the invitation wasn't true.

  • Reception at 7:30 pm and dinner at 8:15 pm, always as two lines.
  • The dress code on the same screen as the times, not in a message the day before.
  • Written in full: “black tie” or “dark suit”, never half-said.
  • Where coats and bags go if the night moves from the table to the gaming tables.

Chips: say it before guests walk in, not when they arrive

If you're covering a chip per guest, write the sentence in full: “one welcome chip per person, handed out at reception.” Someone who plays knows what to do with it. Someone who doesn't knows it isn't a mistake next to their place card.

If guests buy their own, the sentence is the opposite and just as plain: “chips are not included; the cashier is by the entrance.” That line saves someone hunting for a cash machine at eleven at night. Keep gaming chips and charity raffle tickets apart, too — two different spends, two different lines, with the ticket price and where the money goes. And if a tournament has a fixed buy-in, print the amount and the time entries close, so nobody finds out once the cards are dealt.

Write the arrival time, the dress code, the chip rule and the reply date. Your guests then walk in already knowing how the night works.

Black tie is not the same as black tie optional

“Black tie optional” means a dark suit is welcome, but plenty of people read it as “wear whatever”. Add the clarification: “black tie or dark suit; ties welcome.” A floor-length gown and a gaming table don't get along either — if the night ends standing at the tables with a drink in hand, “cocktail dress” settles it for anyone in thin heels.

The RSVP needs a date and a reason

Ask for replies before a specific date and explain why: “please reply by 12 October so we can set the tables.” A deadline with no reason gets ignored; a deadline with a reason gets respected. Put the reply button on the same screen as the date and the venue — if guests have to confirm to three different people, you'll spend a week chasing answers. Add one question to the form, such as “are you playing in the tournament?”, and you can count tables and chips before the night.

Then there's the Thursday change. Move the time, swap the venue, rewrite the dress code: with a digital invitation you send nothing again. Guests open the same link they saved on Tuesday and see the current version. No reprints, no second round of messages, nobody arriving at the wrong hour with an old screenshot.

A gala dinner with casino tables is decided long before the cards are dealt — it's decided in the text of the invitation. Four clear lines: arrival, dress, chips, reply-by. Your guests turn up knowing what to wear, when to sit down and who's paying for the chips. You can write those lines in your browser, in the invitation itself, and change them whenever you like without sending a thing.
