Pub Birthday Invitations: Price Per Head, Not Per Table

Your pub charges per person, not per table. Here's how to split the cost, set a clear price and take RSVPs on one link so nobody backs out.

Your pub charges per person, not per table. Here's how to split the cost, set a clear price and take RSVPs on one link so nobody backs out.

You book the function room at the pub. Twelve people say yes on the group chat, then sixteen. The pub's confirmation email lands: £17 per head, minimum twenty covers, tab settled at the end. That's information only you have right now. Pub birthday invitations are where it belongs — not in a chat that scrolls past by Thursday.

None of this is complicated. The cost sits with whoever is organising, and the details sit somewhere people forget to look. Put the numbers in the same place as the time and the map, and half the questions never get asked.

Pub birthday invitations: the pub charges per head

Ask the pub three things before you write anything: what the per-head price covers, whether the first drink is in it, and what time the reservation ends. If £17 buys you a table and nothing else, write 'drinks at the bar' on the invitation so nobody arrives expecting a free round. Then do the multiplication. Twenty people at £17 is £340, a number that belongs on the invitation rather than in a voice note someone will scroll past. If the table is held until 10pm and then the tab is yours to settle, say that too.

  • What the per-head price includes: first drink, bar snacks, the reserved table, or just the space.
  • The total: multiply the per-person price by your headcount and write the number down.
  • The reservation window: 'Table held 7pm to 10pm; after that, everyone pays their own way.'
  • How the extra gets covered: bank transfer, cash at the door, or a shared pot.

Three prices, all of them visible

Keep it to three figures, and never bury any of them in a postscript. The entry price per person, an optional extra, and what you want to happen with gifts. Guests decide whether to come based on those three lines, so hiding one just moves the awkward moment to the night itself, when somebody is standing at the bar counting coins.

The entry price is the headline — '£12 each, first round included' — set apart, not tucked at the bottom. The extra covers cake, decorations or a round of shots: optional, paid into a shared pot, and quietly dropped if it doesn't fill. On gifts, if you'd rather people just turned up, write that next to the price so nobody messages you privately to ask what to bring. One line saves twenty conversations.

If the price is on the invitation, nobody has to ask. If it isn't, twenty people ask in twenty different chats.

What to put on the invitation so nobody asks twice

Your cover line does the heavy lifting: 'Pub birthday, table covered until 10pm, we split the rest.' Put the price before the confirm button, not after it. Add a scene with the map, the exact time and the dress code, because people plan around logistics, not around adjectives. If it's 'everyone pays their own way', use those words. Vague wording is what turns a good night into a group chat argument.

A digital invitation stops the 'how much was it?'

A Send The Joy invitation is a web page, not a PDF. Change the price per head or the finish time and the same link shows the new version — nothing to reprint, nothing to resend. RSVPs land inside the invitation in one ordered list, so you can see who's coming and how many without chasing anyone. It costs €29.99 once, whether you're inviting fifteen people or forty, and it can be set up in seven languages. Before you write the price down, ring the pub and ask what it includes.
