The fire is down to embers, someone has claimed the only blanket, and two people are still arguing about whether the tipi really sleeps six. That part is the weekend. Everything before it is admin you have to get right so the fire part works.

A glamping bachelorette party or a hen weekend comes down to two questions: what happens after dinner, and does everyone know where to be and what to bring. Here are the decisions worth making before you send anything out.

Let the fire choose the glamping hen party site

Work out what you're doing after dinner before you book anything. If the plan is a fire, string lights and blankets, a dome with warm light inside beats a house with a living room nobody uses. A hot tub at midnight needs a different site from a projector aimed at the barn wall. Pick one moment that anchors the weekend — a sunset toast on the deck, a film on the outside wall — and build the rest around it.

  • Agree the cost per person before you book, and put the number in the same message as the date. Nobody wants to find out the price of the tipi after the group chat already exists.
  • Ask what the site already provides: firewood, blankets, outdoor lights. Fairy lights fit in a weekend bag either way.
  • Check the last stretch of road. If it's a dirt track or unlit, that belongs in the invitation, not in a reply halfway down the thread.
  • Book the nights you actually need. Two nights gives you one evening where nobody has to leave early.

A dress code you can see after dark

Pick one colour that holds up in low light and firelight: black, terracotta, forest green. A busy print disappears from photos once the sun is gone. If everyone is in black, the bride wears white; if everyone is in green, she wears one gold detail. And write the code on the invitation, not in a chat that scrolls away — 'boots, puffer jackets, no heels' is one line, not a debate.

The invitation that forgets nothing

Use the real arrival time, not the flattering one. 'The minibus leaves at 5pm and the gate closes at 9pm' answers more questions than 'see you Friday'. Then say what goes in the bag: a blanket or sleeping bag, shoes that survive wet grass, a towel, a small torch.

Put the practical details next to the fun ones. If the access road is a dirt track with no signal, that matters more than the playlist, and it needs to be somewhere people can find it again. A message from three weeks ago is not a plan.

The weekend is the fire, the long dinner and the walk back in wet boots. The invitation is what stops anyone from missing them.

Scenes from arrival to Sunday brunch

Give each part of the weekend its own time and its own photo: arrival at 6, dinner at 9, fire at 11.30, brunch at 11 on Sunday. Four to six of your own pictures — the tent from outside, the table laid, the clearing where the fire will go — and the page starts to look like the weekend you're describing. A digital invitation keeps the map, the times, the dress code and the confirmations on one page, and guests reply from their phone without installing anything. Try the cover for free, publish the link once the booking is confirmed, and edit whatever changes without re-sending a thing.
