You have the date, the venue booked and a rough idea of who is coming. Then you open the collection, scroll past a few designs and stall somewhere between a linen texture and gold lettering. That is the wrong question to start with. You can build one today from the collection and send the link the same afternoon, so the only thing left to work out is which one fits your party. Here is how to choose a digital invitation template by event, guest count and RSVP.

Three things decide it: what the celebration actually is, how many people you are inviting and whether you need answers back. Settle those first and the design stops being a coin toss.

How to choose a digital invitation template by event type

Start with the shape of the day. A wedding with a ceremony, a meal and dancing runs long, and guests want to know where to be and when. A birthday in a bar runs on a different clock: people arrive late, stay for two drinks and leave. The template only has to carry whichever one you are actually throwing.

  • Wedding with a ceremony and a meal: linked scenes earn their keep here — arrival, dinner, last dance — because the page walks guests through the day in order.
  • 40th birthday in a bar: a cover photo, the date, the time and one short line. Add six scenes and nobody scrolls down to the address.
  • Midday christening or baby shower: a bright cover, the venue with a map and a line welcoming people in. The rest of the template adds nothing.
  • Dinner for ten at home: the time and the address are the whole thing, plus a photo if you have a good one.

Guest count decides the template, not the design

Twenty people around one table do not need a dress code, a map and a photo gallery. They need the time, the address and a picture, and they will open it on a phone without installing anything.

Trip the numbers up and the same link still holds. A hundred and fifty guests spread across three countries all get the same invitation, and the content can be set up in more than one language for the ones who do not read English. For a 60-person office dinner, a QR code on the screen in the room does more than a forwarded email.

Pick the event, count the guests, decide on RSVP. The template follows from those three, not the other way round.

RSVP: pick the template when you know if you need answers

If you are counting heads for the meal, switch RSVP on and set only the questions you will genuinely read. Confirmations arrive inside the invitation, in one ordered list, instead of scattered across WhatsApp, calls and email. If it is a casual dinner among friends, leave the form off: fewer fields to fill, faster replies.

Moving the time later does not break the template

Move the toast from 9 to 9:30pm and you edit that one field: the link stays the same and everyone sees the updated version, with no reprints and no new envelopes. A dress code or a line about gifts goes in the text field, so you are not hunting for a different design. If one or two people will keep the invitation in paper, combine the two: the link for everyone else and a printed copy for them.

With the event, the guest count and the RSVP settled, you can pick a design, edit the cover for free before you pay, and unlock every scene when you buy. One payment of 29.99 EUR per invitation, no subscription, and changes after sending keep the same link. Choose your digital invitation at Send The Joy and publish it when it looks right.
