A digital invitation for the teachers' end-of-year dinner: everyone confirms on their phone, reads the menu once, and you edit the time whenever you like

It is the last week of term. The staff room group chat is 300 messages deep, and somewhere between a photo of the exam timetable and a joke about the photocopier, three people said they were in for the end-of-year dinner. Nobody can say exactly who. A digital invitation sorts that out: one page with the place, the time and the menu, plus a confirmation list you can actually read. You can build it and send it today from the catalogue.

The invitation is a web page for your dinner, not a PDF and not an image. You share it as a link, a QR code or a message, and anyone opens it in their browser with no app to install. Your colleagues confirm from their phones, in the same place where they read the time and the address. You stop counting names by hand the night before.

A digital invitation keeps the headcount out of WhatsApp

The page carries its own list. Every confirmation drops into it in order, so you can see who is coming and who has not answered yet without scrolling back through the thread. Before you publish, you decide which questions the confirmation form asks: are you staying for the toast, are you coming straight from school. You write them once and everyone reads the same thing.

  • Three "I'm in" messages stop getting lost between memes and voice notes.
  • Confirmations appear in a list inside the invitation, in the order they arrive.
  • The questions on the form are yours, set before you publish, so nobody chases answers one by one.
  • You can open the list on your phone between classes and know where you stand.

The menu gets read once, not twenty times

The menu you agreed with the restaurant, two starters and two mains with the house cake, goes into the invitation text. The whole staff reads exactly the same version. The price per head and the meeting time sit in the same scene, so the "how much do I need to bring?" messages stop landing at two in the morning.

Allergies and menu questions go straight to the restaurant. The invitation informs your colleagues and collects confirmations. It is not a place to gather intolerances or pick dishes, and it does not pretend to be. That conversation belongs with the people doing the cooking.

What to have ready before you build it

Collect the facts first and the editing takes minutes. Every piece of text has its own field with a character counter, so "End-of-year dinner 2025" does not spill out of the frame. You can add up to six photos of your own, mark one as the cover and swap any of them later. And you can try the design for free, editing the cover before you pay anything.

  • The exact name of the restaurant and the meeting time, for example "Asador La Viña, 9:00pm".
  • The menu and the price per head, written as one sentence to drop into the invitation.
  • Two or three photos of the staff from last year, one of them landscape for the cover.
  • The two or three questions you want on the confirmation form, written the way your colleagues will read them.
  • The meeting points for anyone sharing a car from the school.

One link, one list of names, and a time you can change without messaging anybody again.

The booking moves from 9:00pm to 9:30pm. You open the editor, change the time, publish, and the same link shows the new version. Nobody gets a second message and nobody who already confirmed has to confirm again. The same goes for the address, the map, the dress code or the line on the cover: whoever opens the link sees what is current. The dinner happens once a year, so pick a design, put your evening into it and send the link to the staff room.
