Digital invitation mistakes at corporate events with press
A single link for press and guests leaks your launch. Here is how a digital invitation keeps the embargo, the schedule and the accreditation straight

Thursday, 10 a.m., the embargo lifts. On Wednesday evening a journalist forwards the launch message to a colleague, and the press release is sitting on the same link as the invitation. That is the first digital invitation mistake at a corporate event with press, and it hands your launch to anyone who opens the forward. It is also fixable this afternoon: pick a design from the collection, edit it in your browser and send the link before the day ends. 29,99 EUR, one payment.
Almost nothing that goes wrong with press invitations is a design problem. It is plumbing: which link, which file, which form, which photo. Four things break in a row, and you can see each one coming before you hit send.
One link for press and guests is the first digital invitation mistake
Your press release is under embargo. Your invitation is not. Put them on the same URL and every forward carries the release with it. A short link you cannot edit does the same damage from the other side: the schedule moves, the shortener keeps pointing at the old page, and the newsroom quotes a time that no longer exists.
- Keep the press release on its own link, apart from the invitation you send to guests and press.
- Check that the invitation link stays the same when you edit the hour, the venue or the map.
- Do not drop the link in a WhatsApp group where journalists and guests sit together: the first forward ends the exclusive.
- Correct the schedule inside the invitation itself, not in a follow-up message that nobody saves.
A PDF is not a digital invitation: it ages with the first correction
You send the programme as a PDF on Monday. On Wednesday the keynote moves from 11 to 12:30. Now you are re-sending a file and hoping nobody opens the old one, while the version posted as an image on social cannot be corrected at all. If confirmations arrive by email, one more reply disappears in the inbox.
Two details break quietly. The form: if it asks only for a name and a yes, you have no outlet and no press card number, and the door has a queue at 10 a.m. The journalist who confirms as a guest never gets the press kit. The photo: a cover shot of the stage build, uploaded before the embargo lifts, is the first thing a journalist sees and the first thing they can publish early.

The invitation should be the version that is always current, not the one you sent on Monday.
How to avoid digital invitation mistakes at a corporate event with press
Separate the release from the invitation link, and make the invitation the thing you can still change. A digital invitation is a web page you edit after sending: move the hour, the venue, the map or the dress code and the same link shows the new version, with no re-send and no "ignore the previous file". Digital invitations for corporate events with press work the same way for everyone: the journalist opens the link in a browser, installs nothing, confirms from the phone, and you can swap the cover photo for one that shows nothing until Friday. Choose a design, mark the cover you want, publish.
