It's the second week of January and somebody in the group chat asks whether Halloween has been cancelled. It hasn't. You're hosting an out-of-season Halloween escape room for teenagers on Saturday 17 January, the carved pumpkins are still in the loft, and nobody has actually been invited yet. You can sort that today: pick a design from the catalogue, type in your own date, place and photos, and publish the link. That is a digital invitation, a page of its own, not a PDF and not a screenshot floating in WhatsApp.

Three things decide whether this works: the date has to be impossible to misread, the look has to say 1980s video shop rather than 31 October, and the door time has to sit right next to the date. Get those right and nobody turns up on the wrong night in fancy dress.

The date in big letters and the month in capitals

The headline field is where this is won or lost. Write the day and the month out in full and let the numbers come last. Read at a bus stop, on a phone, half-scrolled, 'SATURDAY 17 JANUARY' survives; '17/01' is a riddle.

  • Write the label out in full: SATURDAY 17 JANUARY, never just 17/01. The month is the first thing people read and the first thing they get wrong.
  • Put one short line under it: 'Yes, January. The pumpkin stays in the loft until October.'
  • Add the year if there's a bat or a pumpkin sitting next to the date, so the invitation doesn't look like a leftover from last autumn.
  • Check the character counter in the editor before you publish: the label has to fit on a phone screen without wrapping into nonsense.

How to create an out-of-season Halloween escape room digital invitation

Start in the catalogue and filter by style until a design sits close to the mood you want. Then open the editor, which runs in your browser with nothing to install, and fill in one field per detail: headline, names, date, phrase, place. The preview updates as you type. You can upload up to six of your own photos, mark one as the cover and replace any of them later.

The 1980s feel comes from light and sound, not from gore. Neon green and purple, a VHS-style typeface, a cover photo of carved pumpkins, candles and dark cloth. For teenagers, the funny mystery beats the threat: 'the door creaks at six' is more fun than anything genuinely grim. Add a synth track as the invitation's music and one line of dress code, denim jacket, something neon, with a photo doing most of the explaining.

If the party is in January, the invitation has to say so before it says pumpkin.

The door closes at 18:00, and that goes next to the date

Punctuality is a design decision. Put the time on the same line as the date ('the first room opens at 18:00 and the door closes at 18:10') and repeat it on the welcome scene. Then write one RSVP question yourself, something like 'Can you make the first room?', and you'll know who needs a nudge before you set the game up. Send the link to the group with a single line: 'Confirm inside, the padlock doesn't wait.'

Digital invitations that change the time without resending anything

If the first room overruns or you move the meeting point to the side door, edit the invitation and the link stays exactly the same. Nobody reopens an old file, nobody digs through the chat for a newer version. Confirmations arrive inside the invitation in one ordered list, so you're not chasing replies on WhatsApp the week before. Guests install nothing: they open the link in their phone browser and answer there. Pick a design, try it free, publish it with the date in big letters, and let the pumpkins wait until October.
