How to write, send and update an adoption invitation: the right date, the right name, and an RSVP list you don't have to chase.

The hearing gets moved to next month and you're rebuilding everything in your head: the date, who needs a map, who's driving. Your sister has already taken the day off. Somewhere in your notes app there's a half-written adoption invitation, with a date you no longer trust.

An adoption invitation carries something a birthday invitation never has to: a date that can still move, and a name that might not be public yet. Get those two right and everything else — the food, the photos, the dress code — settles easily.

Adoption invitation guide: the date isn't always the signing date

Separate the hearing, the first night at home and the welcome party. They rarely land in the same week, and only one of them is yours to move. If the resolution can slide, send a save-the-date first: a rough month, plus "we'll confirm the day as soon as we have it". Then send the real date once it's fixed. People book leave and flights around invitations, so an honest "not yet" beats a date you have to correct two weeks later.

  • Split the three dates: the hearing, the first night at home, the welcome lunch.
  • If guests are flying in, write the time with the zone — 18:00 CET / 12:00 EST.
  • A long trip doesn't need two parties. One Sunday lunch at home can say more than a rented room.
  • Keep the dress code simple: something you can run after a toddler in.

The name on the invitation opens the door

Use the name the family actually uses, and only once it's shared outside the house. On the cover, "We're welcoming [name]" or "The family tree is growing" both work.

Leave paperwork words out of the visible text. Minor, resolution, case — those live in a folder, not on a card. Write our son, our daughter, our little one. If the name isn't public yet, a symbolic line carries it: "The family is growing. Come and meet them when they're home."

Photos that tell it without showing a face

You don't have to put a child's face on an invitation. A pair of hands, an empty chair about to be filled, a hand-drawn family tree — any of those say more than a posed photo. In a digital invitation you can mark which image is the cover and swap any picture afterwards, and up to six of your own photos frame themselves.

An adoption invitation should be able to change with you: a date that moves, a name that isn't public yet, a guest list that grows. None of that should mean reprinting anything.

Your RSVP list shouldn't need chasing

Ask two things: are you coming, and how many adults and children are you bringing. That's enough to know how many chairs and how much cake. Set a clear deadline and keep the answers in one ordered list instead of scrolling three group chats for a yes. Guests open the link in a browser on their phone, no app to install.

Test the link on your own phone before you send it. Open it the way a guest would, answer the RSVP, and check that the map and the time look right. Then send it. If the court moves the date, you edit it — the same link shows the new version, and nobody gets a correction message. That's the whole advantage of a digital adoption invitation: it can grow at the same speed as the family.
