Destination Wedding Invitations: A Guide Without Chaos

A destination wedding invitation should answer three things fast: where to sleep, what time it starts locally, and when to book. Here's how to fit all three into one link.

A destination wedding invitation should answer three things fast: where to sleep, what time it starts locally, and when to book. Here's how to fit all three into one link.

Your cousin messages in March: 'Which hotel are we in?' You sent the invitation for your destination wedding back in November. The date is on it, the venue is on it, and the answer to her question is somewhere in the group chat, under forty photos of the courtyard. Two relatives still think the ceremony starts at 7 p.m. their time.

Three things go missing every time the wedding is abroad: where to sleep, what time it starts where your guests are standing, and the date by which they have to book. Everyone assumes someone else has the details. Nobody does. Put those three in the invitation and you stop answering the same question seven times.

Destination wedding invitations: the hotel block comes first

Call a hotel near the venue, negotiate a rate for your guests and ask for a booking code. That code belongs on the same screen as the date and the venue, not in a separate PDF nobody opens in March. Ask how long the block is held — that date goes on the cover, not in a footnote.

  • Hotel name, booking code, an indicative nightly rate and the cut-off date, in the same place as the date and the venue.
  • A hard deadline in plain words: 'Book before 15 May with the code STJ-WEDDING.' Without a date, people wait, and late bookers pay the full rate.
  • Two hotels? Give the nightly rate and the walk to the ceremony for each one. 'Is it far?' is the question that delays a booking by another week.
  • Set the RSVP deadline a few days before the hotel cut-off, so the people who always leave it late still get a room.

Local time is not the time back home

Write the time where the wedding happens, then add the conversion for the people flying in: '19:00 (18:00 in London)'. That one bracket stops a guest walking in an hour into the ceremony.

If people are travelling together, put the departure time and the meeting point on the same map scene, not in a message that sinks under a photo dump. If the time changes later, edit the invitation — the link stays the same, so nobody needs a new message.

A good invitation answers the questions guests ask the night before they book their flight.

One countdown, two dates

Show the event date and the hotel cut-off side by side. Someone who sees the deadline on the cover buys the ticket sooner than someone who only reads 'wedding in September'. If the hotel changes its rate or the map link breaks, you edit it — same link, updated version, no reprint and no fresh envelope.

What gets lost in the group chat

Dress code, ceremony time, exact address and hotel code: in a chat, that list sinks under photos and memes within two hours. Keep it in one link, and confirmations arrive inside the invitation, in a single ordered list. If an aunt wants something on paper, print a few copies for the people who will keep them as a memento — the link does the rest.

Try the design in test mode, set the cover with the date, the place and the local time, and publish the link as soon as the hotel gives you the code. 29.99 EUR, one payment, no subscription, and your guests open it in any browser, on any phone, without installing an app.
