Your cousin in Sydney opens your invitation on her morning commute. It says Saturday, 8pm. She counts the hours, gets it wrong, and texts you: your 8pm or mine? You are at work. She is going to bed. The cake is still three weeks away and the two of you are already doing time zone arithmetic.

That is the whole problem with birthday invitations for international guests. The details are clear on your screen and unclear on theirs. It is not a wording problem, it is a details problem, and it turns up in the same few places.

Birthday invitations for international guests start with the time

A guest in Mexico City, Berlin or Sydney cannot tell whether 20:00 means their clock or yours. 'Spanish time' or 'home time' does not help either, unless they already know where home is. Write the time, the abbreviation and the city together. If the hour changes, edit it in the invitation and the same link shows the new version.

  • Time with a zone and a city: 20:00 CET (Madrid), not just 20:00.
  • Date with the month in words: 5 August 2025, not 05/08/2025.
  • A written address as well as a map link, for the guest whose phone opens a different map.
  • Open the link from another country, or ask one guest to open it, before you send it to everyone.

The date format that confuses two countries

05/08/2025 is 5 August in Spain and 8 May in the United States. The same nine characters, two different weekends, one guest who books the wrong flight. Spelling the month out takes four seconds and removes the doubt.

A weekday on its own is thin too. 'Saturday' gives a guest nothing to check when the date could be read two ways. Use both: Saturday 5 August 2025. And if you spot an error after you publish, edit the date in the invitation. The link stays the same, so there is no second round of envelopes and no reprinting.

Write the hour so nobody has to count, and the date so nobody has to guess.

One language is not enough for one guest list

'Cocktail' and 'formal' do not mean the same thing in every country. Describe the dress code with an example, such as dark suit and no tuxedo, and people know what to wear. The Send The Joy site runs in seven languages: Spanish, English, Catalan, French, Italian, Portuguese and German. The invitation content can be set per language, so labels, names, date, phrase and place can be adapted for each group.

RSVP without the WhatsApp chase

Chasing confirmations across time zones turns into a long thread of 'so are you coming or not?'. Replies to a digital invitation land inside the invitation, in one ordered list, and the confirmation questions can be written in the guest's language so a yes means yes. If someone in the family wants paper, combine the two: the link for everyone, a few printed copies for whoever will keep one.

Check three things before you send: the hour with its time zone, the date with the month in words, and the language each guest will read. A Send The Joy invitation costs 29.99 EUR, paid once, with no subscription. Change the time, the place, the map or the wording afterwards and the same link updates for everyone.
